User's Manual

 

  Thanks for using Rent Wizard. It has been designed to help you keep track of all of your rent property. Rent Wizard will help you keep accurate records of almost anything related to being a landlord. Specifically, Rent Wizard does the following:

 

          * Keep records of all incoming and outgoing financial transactions.

          * Create and maintain a database of all rental units.

          * Create and maintain a database of all tenants.

          * Print a receipt for any moneys received.

          * Keep a Phone Book for quick access to frequently used numbers.

* Print Invoices for tenants.

* Create Balance Reports for Property Owners

          * Create Balance Reports for any tenant.

          * Create work orders for work needing to be done to property and assign to any employee.

          * Quickly and easily write letters to tenants and associates

          * Keep a logbook of all complaints and problems or any thing needing notated.

          * Quickly create a listing of all leases nearing expiration.   

          * Quickly create a listing of all units currently vacant.

          * Create and maintain a database of former tenants.

          * Print mailing labels for all tenants.

          * Quickly view all transactions in register format.

          * Print Leases (two styles), applications, various notices, Contractual Liens, Change of Locks and more.

          * Prints a Schedule E Assistance Report to help you at tax time.

          * Print Preview any document and make final edits if needed.

What you will need to run Rent Wizard.

 

You will need a computer running Microsoft Windows 95, 98 or NT, a hard drive and VGA monitor.

 

 

 

Rent Wizard as Shareware

 

When you run Rent Wizard, a brief message will appear notifying you that Rent Wizard is shareware and that you should consider registering the program with the author. The registration fee is only $38.95. I can keep my price low because of several reasons... I do not have advertising cost. (Many shareware authors forget this and charge as much as commercial software. When you buy commercial software, much of your payment goes toward advertising.) I have kept Rent Wizard's advertising to a minimum. What you get for registering is the latest version on diskette, my thanks, technical support, no more nag notices, notification of future upgrades, and the personal satisfaction that you are part of the American way! Something else you will get is the offer to register any other Full Sail Software program for half price! See below for descriptions of those programs.

 

 

Installation

  Rent Wizard is now distributed as an executable. Run the program SETUP.EXE. Follow the prompts to install Rent Wizard. The program will copy and install the files into to the destination directory and create a new group in your Start Menu called Full Sail Software with Rent Wizard's icon in it. Selecting on this icon will run the program.

 

 

Using Rent Wizard

  After a brief message letting you know the program is loading, the program will check for prior registration. If it is not found, then a Window will appear notifying you to please register. PLEASE DO. You may use Rent Wizard for 30 days as a trial period. I have spent many hours to make Rent Wizard a simple and efficient program that you would want to use on a regular basis. I only ask $38.95 for registration which is a very small price to pay to rid yourself of the nagging registration notices.

 

 

  After pressing Continue on the Registration Notice, the main Window appears. This window provides access to all of Rent Wizard's features.

 

They are:

 

Transactions - Click here to record income and expenses.

 

Units – START HERE!  Click here to add and enter information about each rental unit.

 

Vacancy List – This list all units that are currently vacant.

 

Property Owners – Lets you keep vital information about each Property Owner.

 

Property Reports  - This creates several reports specific to Property Owners.

 

Tenants - Click here to add and enter information about each renter.

 

Quick Receipt - Click here to create a receipt. This is useful for when your tenant walks into your office to pay his rent and ask for a receipt.

 

Write a Letter - Rent Wizard provides a quick and easy way to write letters to tenants or any associate. Click here to bring up this feature.

 

Unit Details – A new feature, Keep track of additional information in each unit.

 

Expiring Leases - Click here to prepare a listing of leases that will be expiring in the near future.

 

Expired Leases - Click here to prepare a listing of leases that have expired.

 

Quick Receipt – Produces a receipt to give to tenants or others. This information IS NOT retained.

 

Past Due Report – Produces a list of tenants who are overdue on their rent.

 

Rent Roll – Produces a list of who has and has not paid.

 

Logbook - Click here to enter information that you want to keep annotated in a log fashion. Record complaints, actions, dates of transactions or of anything you want to keep a history.

 

Vacancy List - Click here to prepare a list of vacancies that you currently have.

 

Transaction Listing – List all of your transactions.

View Register – Displays all of your transaction in spreadsheet manner.

 

Former Tenants - Click here to view and maintain information on tenants who have previously leased from you.

 

Work Order - When a tenant request a repair, you might want to print a work order to give to your maintenance man describing the work, location, etc. Two copies are printed on one sheet.

 

Tenant List – Produces a quick list of your tenants.

 

Deposit List – Produces a list of deposits that you have received.

 

Mailing Labels - Quickly print a set of mailing labels for your tenants.

 

View Register - Click here to view your transaction register.

 

Bank Deposits - This button will launch To The Bank! once you have registered and installed your complimentary copy.

 

Phonebook – Rent Wizard now has it’s own phone utility. Keep track of frequently called numbers.

 

Bank Deposits – Rent Wizard now has the ability to keep track of all bank deposits you make. In the past, this was handled by a separate program called To The Bank. This functionality is now incorporated directly into Rent Wizard.

 

Balance Report – Produces a report for all or specific tenants to determine if they are up to date on scheduled fees.

 

Invoices – Lets you prepare an invoice to give to tenants or others for services or extra fees.

 

Former Tenants – Produces a list of Former Tenants.

 

Vehicles – Rent Wizard now lets you keep track of all vehicles that belong on the premises.

 

General Info – Provides an overview of information about your properties such as Occupancy Rate and other details.

 

Exit - Ends the program.

 

In the menu you'll find the following:

File - 

          Open - To open a previously saved document or lease.

          Setup - To configure Rent Wizard.

          Register - To enter your registration number when received.

          Back Up - To back up your data files.

          Show Title - Once you register, you'll be able to turn off the title screens display. The program will load faster.

          Print –

                    Blank Lease – Prints a blank lease to give to applicants.

                    Application - Prints an rental application

                    Schedule E Assistance Report  - Prints a report to help you at tax time.

          Exit - Ends the program

          Manual Online - Your reading it. Rent Wizard will launch Windows Write and load this file.

          Order Form - Gathers your information and prints and order form ready to mail or fax to us.

Configuration

          When you first install Rent Wizard, you will first need to configure it to print your company information on it's reports and add employees to it's list. From Rent Wizard's main screen, click on File, the Setup. Here you will enter your company information. Click on Save to record the info. Add the names of employees who may be signing letters or who may be receiving work orders to Rent Wizard's list. Click on a name in the list, then you can click on Remove to delete the name. Main Menu takes you back to Rent Wizard's main screen.

 

Registering Rent Wizard

          When you register Rent Wizard, you will receive among other things, a registration number. The registered version and the shareware versions are identical, we only develop one version actually, and then give you a registration number that acts like a key to remove the nag notices and show the program as registered to you. Click on Register, then enter your registration number and name EXACTLY as shown on the invoice shipped to you.

 

USING RENT WIZARD

 

IMPORTANT CONCEPT TO REMEMBER. Just as in the real world, you should start using Rent Wizard by first entering your Units. Then you can put tenants in those units, then you can enter all other information easily.

 

Using the Units Database

          Before you can start using Rent Wizard to track tenants, vacancies, etc., you'll need to tell Rent Wizard about the properties you own. Click on Units to get started.

          First, to add a unit, click on New and start entering the information in the fields presented. You will need to give each unit an ID up to 8 characters. This might be the Apartments ID number, the name of the street that the house is on or any unique identifier that you wish to use. There can only be one unit with any particular ID. For example, if you own a duplex, these are actually TWO separate units and each must have it’s own unique ID. Enter the rest of the information requested. Most of it is general information about the unit. When entering the "Value of House", enter only the value of the house and do not include the value of the land. This is for your Schedule E report for tax time and  is used in the Schedule E Assistance Report at the end of the year. You might want to enter the name and address of the Mortgage Company for handy reference as well as the name and phone number of your insurance agent. When finished, click on Save to record the information.

          Once you have entered some units, they will be displayed in the listbox on the left of the screen. To review the information on a unit, click on one of the unit ID's. The information you have entered will be displayed.

          Should you sell one of your units, you can delete a unit from Rent Wizard's database. First, click on a unit ID in the listbox, then click on Delete. You'll be given the opportunity to confirm the deletion.

          To print a listing of the information, click on Print. A listing of the information will be sent to the printer for this particular unit.

 

Adding Transactions

 

  You can use Rent WIzard to keep a register of all money transactions on your property. Click on Transactions form Rent Wizard's main window. The first step is to indicate whether the transaction is an Income, Expense, Deposit, Credit or Fee. Click on the appropriate option button. Tab to the Payee box and enter the name of whom the payment went to or came from. Enter the amount and the date. You can use the calendar to select a date. Select a category for the transaction and be sure to select a Unit for this transaction as this is used to generate reports later. Finally enter a memo. Click on SAVE and the entry will be recorded or click on CANCEL to abort.

 

  You can click on CLEAR to remove any text you may have typed into a text box. Clicking on PREVIOUS and NEXT let you view any previous transactions you have entered. When you are viewing prior transactions, you can click on DELETE to remove the entry. You will be asked to confirm the deletion.

 

  Rent Wizard will remember payees and also categories that you enter and let you recall them later. To use, simply enter a payee, when you save the transaction, the name will be compared to the existing list, if the name is not found, then it is added to the list. The next time you enter a transaction for that name, you can save yourself some keystrokes by selecting from the dropdown list. Simply click on the down arrow and click on a name. The same thing happens with categories too. When you add a new category, it will be added to the list. The other thing to keep in mind is that these preset categories are the same categories use in the Schedule E tax form. When you add a new category, then that category will be considered an OTHER for the Schedule E Assistance Report that Rent Wizard can generate for you.

 

Using the Tenants Database

          Once you have entered your units, you can start putting tenants in them. Click on a unit in the listbox. Enter the tenants name and the other information requested. When complete, click on Save.

 

          Rent Wizard can print several reports and other documents once the tenants information has been entered. From the menu, click on Print, then one of the following:

          Data Sheet - Prints a listing of the data you have entered.

          Simple Lease - Prints a simple lease agreement using the tenants information. You will be asked a few additional questions and then the lease will be presented for preview and final editing.

          Extended Lease - Prints a detailed lease agreement using the tenants information. You will be asked a few additional questions and then the lease will be presented for preview and final editing.

          Raise Rent - Prepares a letter to notify the tenant of a rent increase. You will be asked a few additional questions and then the lease will be presented for preview and final editing.

          Termination - Prepares a letter to notify the tenant of termination of his lease. You will be asked a few additional questions and then the lease will be presented for preview and final editing.

          Change of Locks - Prepares a letter to notify the tenant of a change in his locks. You will be asked a few additional questions and then the lease will be presented for preview and final editing.

          Contractual Lien - Prepares a letter to notify the tenant of a Contractual Lien. You will be asked a few additional questions and then the lease will be presented for preview and final editing.

 

          Once the documents have been prepared and presented to you for editing, you can make any changes to the lease you desire including spell checking the document for typographical errors, then click on one of the folloing four buttons:

                    Preview - Print Preview the document

                    Printer - Sends the document to the printer.

                    File - Saves the document to a file.

                    Close - Closes the editing form.

          You can also save the document at this point with any file name you choose. The document will be saved in Ascii text format. Any text editor such as Notepad can be used to edit the file in the future.

 

          Once your tenant has moved out, you can show that tenant as moved out of your database also but retain some important information about him. Select a tenant from the list of units, then click on Move Out. You will be asked to confirm the change. Click on Ok to confirm on Cancel to abort. You will be presented with a screen for inputting information about your tenant's move. Enter his forwarding address if provided and the other information requested. Later, should you need to refer to this information, from Rent Wizard's main window, click on Former Tenants. The Former Tenant screen will be shown. Click on a tenant from the list and view or edit the information.

 

Quick Receipt

           This will is useful for when your tenant walks into your office to pay his rent and ask for a receipt. From Rent Wizard's main window, click on Quick Receipt. You will be asked a few questions, then a receipt will be printed. The information you enter WILL NOT BE RETAINED. This is a just a simple method of providing receipts when needed.

 

Work Order

          When a tenant request a repair, Rent Wizard can print a work order to give to your maintenance man describing the work, unit, etc. Click on Work Order on Rent Wizard's main window. On the screen provided, click on a unit, select an employee to assign this work to, then enter a description of the work to be done. When complete, click on Save & Print and this work order will be printed and saved to the unit's work order history. Two copies are printed on one sheet. You can cut it on the dotted line, retain one copy for your files and give one copy to the employee who will be doing the work. When he has competed the work, he can sign off on the work order and return it to you for filing.

 

Write a Letter

          Rent Wizard provides a quick and easy way to write letters to tenants or associates. Click on Write a Letter from Rent Wizard main window to use this feature. To write a letter, enter the receiver's name then type your letter. You can also use the Copy, Cut and Paste buttons to copy, cut and paste text as in any text editor. After typing your letter, enter a signature or select one the employee list. You can save the letter to a file and retrieve that file later. Rent Wizard uses the file extension "RTF" for your letters. These documents are saved in “Rich Text Format” which is supported by most word processor on the market today. You can open these documents by just about any word processor.

 

Using the Log Feature

  You can use Rent Wizard's log feature to record any comments you want. It would probably be a good idea to record any complaints from your tenants, the date and what kind of repairs you make, etc. In other words, CYA (Cover Your A@#). Now when your tenant threatens to sue because he said he first complained three months ago, you can pull your records and show that he didn't complain until 8 days ago at 11:32am. When he says you didn't make a repair, you can document that you made the repair and what you did.

  To use this feature, click on Logbook. The log entry screen will appear. The date will be pre-filled for you but you can change it. Select a unit from the Units listbox. Enter your comments in the Comments box. If you change your mind, you can click on Clear to erase the current contents of the box. When you are through, click on Save to record the comments.

  The History box on the bottom half of the window contains any prior entries you have entered. You can highlight any or all of the text and Copy it to the clipboard for pasting into another document if you need. You can also click on Print to send the history to the printer.

  If you decide to not save and entry, click on Cancel to abort the process. This will take you back to the main window.

 

Expiring Leases

          Click on Expiring Leases on Rent Wizard's main window to prepare a listing of leases that will be expiring in the near future. You will be asked for the number of days from today to check for leases expiring. Sixty days is the default value. Accept this value or enter a new value. All leases that will be expiring from today's date until the number of days you have entered will be printed on a report. The report will contain each unit's ID, the renters name, the address and the date the lease expires.

 

Tenant List

          The Tenant List is a quick report of the tenants currently on file. The following information will be tabulated:

          Name

          Address

          City, State Zip

          Home Phone

          Work Phone

          Rent Due Date

          Amount Due

 

Vacancy List

          Click on Vacancy List on Rent Wizard's main window to prepare a list of vacancies that you currently have. The program will check the list of units available against the list of renters to find the units available without a unit assigned. Each vacant unit will be included in the report identified by the Unit ID and address.

 

Former Tenants

          Click on Former Tenants on Rent Wizard's main window to view and maintain information on tenants who have previously leased from you. Keep track of forwarding addresses, amount of deposits returned and the amount plus the dates that they rented from you etc. Click on Save to record any changes. Click on Delete to completely remove the renter from the database. From the menu, you can select Print to print a data sheet of this former tenant for your paper files.

 

Balance Report

          Rent Wizard will help you keep tabs on tenants rent payments by keeping track of amounts due and amounts paid. There is some criteria that must be met for these reports to be accurate.

          Criteria 1. The tenants Start Date and End Date must have valid dates entered. 

          Criteria 2. The Monthly Amount Due for that tenant must be entered.

          Criteria 3. When you enter the rent payments in Transactions, you must enter the Tenant as the Payee

          Criteria 4. When you enter the rent payments in Transactions, you must assign the unit to the transaction.

          Criteria 5. Transaction emtered must be marked as "Income"

 

          If any of the above items are not fullfilled, then your balance report may be inaccurate. Your balance report will calculate the amount of rents due from the time the tenant started his lease thru the current month. It will also search the transactions to find money paid by that tenant. Keep in mind that if the tenant pays any money extra (such as a late fee), this amount will be added as rent paid. To avoid this, you can change the renter's name in the payee box slightly differently than shown in the database.

 

Phone List

          Rent Wizard can keep a simple phone list of frequently called numbers. Click on Phone List to use this feature. To add a new name, click on NEW, enter the information, then click on Save. To retrieve a person's or companies data, click on the name in the list (which is presented in alphabetical order). To delete a name, select it from the list, then click on Delete.

 

General Info

          Rent Wizard has a quick summary feature. Click on General Info and some data that might be useful will be presented. The following info is tabulated:

          This Year's Balance

          Date of Last Rent Payment

          Total Expenses This Year

          Total Income This Year

          Deposits Collected (All)

          Number of Units

          Number of Tenants

          Occupancy Rate

          Leases Expiring in 90 Days

          Leases Expiring in 60 Days

          Leases Expiring in 30 Days

          Leases Currently Expired

 

Invoices

          Rent Wizard can produce Invoices for rents due for any month. Click on Invoice. Here you'll select the Month and Year for the invoices to be created. Rent Wizard will go thru your Tenant database and print an invoice for each tenant on file. Rent Wizard does not compare this to rents that have been paid or are over due but just prints an invoice for the amount due that month.

 

Calendar

          Rent Wizard has a calendat built in. use it to check upcoming dates, etc. A calendar never seems to be around when you need one, so we put one into Rent Wizard available at the click f a single button. Move forward and back through the months and years by clicking on the arrows on the calendar.

 

Mailing Labels

          Rent Wizard can also print a set of mailing labels for your tenants. You MUST use laser printer labels, 1x2-1/2, 30 per sheet. Avery Label style 5160 or compatible. Click on Mailing Labels and confirm that you have the labels loaded into the printer. You can print a sample sheet directly onto a blank sheet of paper to preview the labels.

 

View Register

          Click on View Register to view your transaction register, a listing of all financial transactions in your database. This view is similar to spreadsheet. You can scroll up and down through the listing. You can not change the data here. You can print the transactions by clicking on the menu selection Print and then enter the number of the transaction from where to start the listing.

 

Bank Deposits

 

"To The Bank!” is a program that we used to include as an add-on for Rent Wizard. It is now incorporated directly into the program. It is an essential tool for making out those tedious bank deposit slips. To The Bank! is sort of like your trusty adding machine only better!

To The Bank! keeps a historic detailed record of every deposit. It first

allows you to enter all of the checks for your deposit. It then totals them

up for you and records the list of checks. Then you can enter all of your

currency keeping a record of each denomination of bills.  To The Bank! will

present you with the exact information you need to fill out the slip. And it

will even print a list of the checks and currency that you can file away or

cut into a strip to wrap around your checks and currency.

 

Deleting Rent Wizard from your system.

 

To remove Rent Wizard from your hard drive, use the Add/Remove feature of Windows 95/98 (located in the control panel) to remove the program.

 

Pest Control

  If you encounter any bugs while using Rent Wizard, do not hesitate to write. We want to know about any bug that may be in the program so that it can be terminated. If you find a bug, please write or call, we may already have fix or we will do our best to see that it is removed.

                Rent Wizard for Windows package.  A distribution

                cost may be charged for the cost of the diskette,

                shipping and handling, as long as the total (per disk)

                does not exceed US$6.00 in the U.S. and Canada, or

                US$8.00 internationally.

 

            o   The Rent Wizard for Windows package CANNOT be sold

                as part of some other inclusive package.  Nor can it be

                included in any commercial software packaging offer,

                without a written agreement from Full Sail Software.

 

            o   The PRINTED User's Guide may not be reproduced in whole

                or in part, using any means, without the written

                permission of Full Sail Software.  In other words, the

                disk-based documentation may not be distributed in

                PRINTED (hardcopy) form.

 

            o   The Rent Wizard for Windows package cannot be

                "rented" or "leased" to others.

 

            o   Licensee shall not use, copy, rent, lease, sell,

                modify, decompile, disassemble, otherwise reverse

                engineer, or transfer the licensed program except as

                provided in this agreement.  Any such unauthorized use

                shall result in immediate and automatic termination of

                this license.

 

            o   U.S. Government Information:  Use, duplication, or

                disclosure by the U.S. Government of the computer

                software and documentation in this package shall be

                subject to the restricted rights applicable to

                commercial computer software as set forth in

                subdivision (b)(3)(ii) of the Rights in Technical Data

                and Computer Software clause at 252.227-7013 (DFARS

                52.227-7013).
